Career Opportunity – Administrator (GMG/AM 3)


The Ministry of Health has mandate to ensure the provision of national health care, a critical component of which is access to safe, effective drugs of acceptable quality. This is particularly important since access to essential drugs is a human right (WHO).

In its endeavour to achieve and sustain equitable access to health service amongst the most vulnerable group throughout the Jamaica population, the Ministry ha initiate and spearheaded the implementation of various government-supported national Programmes, which are presently operational (Compassionate Fund) funded by the National Health Fund.


Description of duties:

Under the direct supervision of the chair of the Compassion Fund, the incumbent provides administrative support for the smooth running of the programme in the following areas:


Responsibility to the Compassionate Fund Committee

  • Coordinate administrative preparation for meetings, ensuring all necessary documents and other request are sent to participants prior.
  • Prepare relevant documents including minutes and power-point presentations where necessary.
  • Prepare weekly and monthly reports
  • Maintain updated database of clients to include:
    • Status of completion of procedure
    • Purchase order
    • Status of invoicing
    • Payment to suppliers
    • Cancellations
  • Assist in the preparation of financial and administrative progress reports
  • Liaise with the procurement unit to ensure timely generation of purchase orders
  • Liaise with project Accounts unit on generation of payments
  • Escalate to the Chair of the Committee any issue that may prohibit smooth
  • Implementation of the Programme
  • Provide support in monitoring, including timely information on budget ceiling/budgetary and ensure timely processing of committal documents;


Patient Liaison

  • Handle visitors and telephone calls and take action as appropriate, providing background information
  • Provide guidance on the procedures for access to the Compassionate Fund
  • Coordinate appointment for interviews where necessary
  • Inform all clients of any changes to commitment in writing
  • Treat all clients with equity, sincerity, dignity and confidentially
  • Follow-up with clients regarding the completion of procedures within the    time specified
  • Create a trail of client correspondence appropriately
  • Assist clients in NHF/GOJ Health card registration


Liaison with suppliers

  • Make direct contact with all suppliers regarding procedures to be conducted, timeline for completion and follow-up for invoicing
  • Prepare relevant correspondence as required to each supplier
  • Inform suppliers on status of payment


Office Management

  • Review incoming correspondence and ensure routing to responsible
  • Officer, attaching background documents and highlight areas requiring action
  • Draft replies on general and administrative matters
  • Ensure outgoing correspondence and reports conform to MOH standards
  • Develop tracking tools to follow up target dates and deadlines
  • Create and/or maintain filing system and ensure updated information and timely reports
  • Obtain documents and information from in-house and external sources and perform information search as required



  • Bachelor’s Degree
  • Experience in project management
  • Excellent communication skills written and oral
  • Computer skills to include Microsoft Office
