Applications are invited from suitably qualified persons to fill the following position in the Standards and Regulation Division, Ministry of Health and Wellness.

Salary Scale: Min: $ $1,124,500.00 – Max: $1,512,328.00 per annum)

 

JOB PURPOSE

To provide secretarial support to the Standards Research & Development Department and the Investigation & Enforcement Department to facilitate their effective operations.

 

KEY OUTPUTS

  • Effective information storage and retrieval system maintained
  • Letters and documents typed, collated and amended accurately
  • Incoming and outgoing mail is processed efficiently
  • Annual Reports and Work Plans are typed
  • Liaison maintained with Regional Directors/Chief Executive Officers regarding the status of investigations

 

KEY RESPONSIBILITIES AREAS

Technical/Professional Responsibilities

  • Performs secretarial duties for Investigation & Enforcement and Standards Research and Development Departments;
  • Interviews visitors and callers to determine the nature of their enquiry and refer persons to the appropriate officers and/or authorities;
  • Deals with routine (standard) information to members of staff and the public upon request;
  • Establishes and maintains an effective information storage and retrieval system for the Department and ensures the safety and security of confidential documents and reports;
  • Types reports, letters, memoranda and other documents as requested by supervisor, receive and sort incoming mail, dispatches outgoing mail and delivers urgent and important correspondence to “in-house” staff;
  • Assists with the receipt of complaints and maintains a Diary for the “follow-up”/ monitoring of investigations arising from complaints;
  • Ensures the prompt and accurate recording of correspondence received/dispatched and photocopy correspondence when necessary;
  • Assists with the preparation of Approval letters for Research Protocols;
  • Provides pertinent information to clients when possible;
  • Liaises with Ministry of Health Divisions, Regional Health Authorities, Attorney General’s Chambers, Hospitals, Health Centres and other government departments as required;
  • Performs other functions assigned from time to time by the Director, Standards Research & Development and Senior Investigator, Investigation & Enforcement Departments and Director of Standards & Regulation Division.

 

MINIMUM REQUIRED EDUCATION AND EXPERIENCE  

  • CXC or GCE O’ Level English Language or equivalent with proficiency in typewriting at a speed of 40-45 words per minute; successful completion of the prescribed Office Professional Training Course at the Management Institute for National Development (MIND).

OR

  • CXC or GCE O’ Level English Language with proficiency in typewriting at a speed of 40- 45 words per minute and training in word processing and spreadsheet applications. Graduated from an accredited Secretarial School with at least three (3) years’ experience in the field; • At this level, Shorthand at a speed of 80-100 words per minute would be an asset.
